How to procure the right ERP system

In this article, I describe how we at Anchor Management Consulting help our clients choose the right ERP system. Using our Search and Select methodology, we find the ERP system and implementer that best fits your needs, goals, budget and schedule.

In my previous article,"Analyze your business before procuring an ERP system!", I explained how to create the right conditions for starting an ERP procurement. It's all about that:

  • Conduct a business analysis where you discuss, re-evaluate and document your business processes to fit into a business system
  • Create an overall picture showing how the new solutions will fit in with your existing solutions
  • Make sure everyone can see and understand what the outcome will be, and who will use the system for what

You could liken the business analysis to the work an architect does before building a house. We call it Business Preparation.

How we work with Search and Select

After analyzing and adapting the business, we begin the work of setting requirements. To streamline the procurement process, Anchor has developed a methodology we call Search and Select. It is based on our collective experience and ensures that our customers get the business system that best suits their needs, goals, budget and schedule. This is how we work with Search and Select:

Step 1: Identify business system requirements

The first step in Search and Select is to identify the business system requirements. Based on the business analysis and the expected business values, we now focus on what is essential for your business. To find the right requirements, we go through the following, among others:

  • Processes

  • Regulatory requirements
  • Project scope and priorities
  • Migration strategies

Step 2: Solution and provider selection

Once we have a clear picture of the business needs and requirements, we move on to selecting the right solution and supplier. We develop a shortlist of suitable suppliers and implementers based on the business analysis, requirements and our knowledge of the market's business systems and implementers.

We help to develop structured RFI and RFP documents and contact the suppliers in an efficient way. Based on the responses, we guide you through the evaluation in a structured way. Then, together, we select the right solution and the best implementer. The evaluation includes, among other things:

  • Evaluation models
  • Guided demonstrations
  • References
  • Negotiations
  • Commercial conditions

Step 3: Prepare the organization and the project

Before starting the implementation of the ERP, we make sure that the organization is informed and well prepared. This means that:

  • Implementing the necessary operational changes
  • Ensuring that the right resources are available at the right time
  • Planning training
  • Setting the conditions for implementation

We structure the project, staff the steering and project team and define what is expected of them. A detailed schedule and budget are drawn up to keep the project on track and within financial and time constraints.
